Connecting a bank is optional. Do it if you want the money that lands in your account matched to the loads you actually hauled — which broker paid, for which loads, and what is still outstanding — and your expenses categorised into a bank-side P&L.
Admins only. Banking, Books and Cash & checks are money screens: only members with the Admin role can open them.
Connect a bank
- Open Money → Banking and click Connect a bank.
- Plaid's own window opens. Sign in to your bank there and choose which accounts to share. Your bank login goes to Plaid and your bank — never to Loadful.
- Back in Loadful, mark which accounts receive load revenue.
Access is read-only. Loadful requests one Plaid product — transactions — and has no way to move, hold or send money. For each shared account it keeps the institution, the account name, the last four digits and the account type; never the full account or routing number. A first connection reads up to 24 months of history so older loads can be matched.
Matching deposits to loads
Incoming ACH, Zelle and deposits land on Banking so they can be matched. The matcher proposes load matches by amount, date and payer, and two queues need you:
- Needs review — confirm or reject each proposed match.
- Money in, not identified — place a credit on its loads by hand (factoring wires and batch ACH often land here), or set it aside as not load revenue.
Matching is done by deterministic rules, not by an AI model. If a connection shows as broken, reconnect it straight away — every money figure downstream goes stale while it is.
Cash and checks
Money → Cash & checks covers paper money. Drivers record COD cash and checks in the driver app at the curb; you record the handover when they settle up and the deposit when the office takes the bag in; the bank feed confirms when it lands.
Books
Money → Books is the expense side of the same feed. Loadful proposes vendor rules — approve one and every future debit from that vendor files itself — and lists the debits no rule could name, for you to categorise. The by-category table underneath is what the business actually spent.
To suggest a category, Loadful sends the bank's descriptor text for a vendor — counterparty, merchant and memo line — to Anthropic's Claude. It does not send the amount, the date, the account or your connection token. What comes back is a category label, checked against Loadful's own list before anything is filed.
Disconnecting
Disconnect a bank from Banking at any time. That stops the sync and revokes Loadful's access with Plaid. Your transaction history stays in your account so past reconciliations remain checkable; ask us to delete it and we will.
QuickBooks is not available. Loadful was built to reconcile against QuickBooks Online as well, but that integration is switched off and cannot be connected today. If we turn it on, it will be optional and read-only, and we will tell account holders first.
